Privacy Policy

This Privacy Policy explains how Pine Valley Estates (operated by HomeLife Regional Realty Inc., “we,” “us,” “our”) collects, uses, discloses, and protects your personal information when you visit our website, register your interest in our new-construction homes, or book a site visit. It is written to comply with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada’s Anti-Spam Legislation (CASL).

1. Information we collect

We collect personal information you provide directly when you:

  • Register your interest — name, email, phone number, city, postal code, community of interest, ownership status, purchase timeline, and any free-form notes you choose to share.
  • Book a site visit or phone consultation — name, email, phone, chosen agent, community, time slot, and any notes for the visit.
  • Contact us — name, email, phone, and the contents of your message.
  • Unsubscribe or update preferences — your email address and the choice you make.

We also automatically collect technical information when you visit our site: IP address, user-agent string, referring URL, UTM campaign parameters, landing page, and approximate location derived from your postal code or city.

2. How we use your information

We use your information only for the purposes you would reasonably expect:

  • To respond to your inquiry and follow up about communities you expressed interest in.
  • To send appointment confirmations, reminders, and calendar invitations.
  • With your consent (see Section 5), to send marketing emails about new home releases, price updates, open houses, and market trends.
  • To assign your inquiry to the most appropriate sales agent and provide them with the context needed to help you.
  • To improve our website, marketing, and sales process through aggregate and anonymized analytics.

3. Service providers we share with

We use the following third-party services to operate the CRM. Each receives only the information needed to perform its function, and is contractually required to protect your data.

  • Supabase (database hosting) — stores your contact record and activity history. Data is hosted in the United States.
  • Vercel (application hosting) — serves the website and processes form submissions.
  • Resend (transactional + marketing email delivery) — sends the emails you receive from us. Email events (delivered, opened, clicked, bounced) are returned to us to manage deliverability.
  • Anthropic(AI) — we send a structured summary of your submission (name, community, timeline, budget range, notes) to Anthropic’s API for the limited purpose of generating an internal lead-quality score and a draft follow-up email for our agents. Anthropic does not use this data to train models. We do not send your phone number or full address.
  • Google Calendar (optional, agent-side) — when an agent connects their Google Calendar, your booking appears on their calendar as an event so they can prepare and arrive on time.
  • OpenStreetMap Nominatim— to convert your postal code or city to approximate latitude/longitude for the agent’s map view. Only the postal code or city is sent.

We do not sell, rent, or trade your personal information to advertisers or unrelated third parties.

4. Cookies and tracking

We use first-party cookies to keep you signed in to the CRM (agents only) and to remember the session in which you submitted a form so we can resume the booking flow if you navigate away. UTM tracking parameters are recorded with your submission so we can measure which marketing channels are working.

We do not use third-party advertising cookies or cross-site trackers.

5. Marketing consent (CASL)

We only send commercial electronic messages with your express consent. When you submit a registration form with the consent checkbox enabled, you are providing express consent to receive marketing emails from us.

You may withdraw consent at any time, free of charge:

We will honor unsubscribe requests within 10 business days as required by CASL, and typically within minutes. Transactional emails (booking confirmations, account recovery) will continue regardless of marketing preferences because they are not commercial electronic messages.

6. Data retention

We retain your contact record for as long as you have an open inquiry or active booking, and for up to 7 years after your last interaction for legitimate business records and statutory compliance (real-estate record-keeping in Ontario). You can request earlier deletion at any time (see Section 7).

7. Your rights

Under PIPEDA, you have the right to:

  • Access the personal information we hold about you.
  • Correct inaccurate or incomplete information.
  • Delete your information (subject to legal retention obligations).
  • Withdraw consent to marketing (see Section 5).
  • Complain to the Office of the Privacy Commissioner of Canada if you believe we have mishandled your information.

8. Security

We protect your information with industry-standard technical safeguards: HTTPS in transit, encrypted-at-rest database storage, role-based access controls so only authorized staff can view your record, and audit logging of significant actions. We are not, however, able to guarantee absolute security; no system is impervious to breach. If a breach affecting your personal information occurs, we will notify you and the Office of the Privacy Commissioner of Canada as required by PIPEDA.

9. Children

Our services are intended for prospective home buyers aged 18 and older. We do not knowingly collect personal information from anyone under 18.

10. Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top reflects the most recent revision. Material changes will be communicated to active contacts by email.
